1C Vietnam and Tonmat Group transform digitally sustainably, "operate effectively, open up business"

INTRODUCTION TO TONMAT GROUP:

TONMAT Group Corporation (TONMAT Group) is a pioneer in researching, manufacturing and distributing TONMATPAN brand insulated, soundproof roofing sheets and insulation panels in Vietnam. The group consists of 3 member units (TONMATPAN, GREENMAT, FUJITON), with nearly 20 factories, branches and a system of more than 1,500 partners, agents and distributors nationwide.

TONMAT Group is currently the largest enterprise and holds the number 1 market share in Vietnam for thermal insulation panels, aiming to be in the Top 20 largest manufacturers of sandwich panels and PU roofing sheets in the world.

CURRENT SITUATION BEFORE APPLYING THE SOLUTION:

-Characteristics of business products:

+ 5 types of products; therefore there are 5 different forms and ways of selling.

+ Main products: heat-insulating, sound-insulating roofing sheets and insulation panels, with nearly 12 parameters, requiring a lot of manual operations when placing orders.

+ Conventions on item names and parameter order are different (due to the dialect characteristics of each customer).

+ Difference between roofing sheets and finished panels: custom-made sizes for each order, or same volume but different quality can cause different prices.

-Personnel requirements in operations (Sales & Production):

+ System of 1,500+ agents nationwide, requiring coordination from many departments to record + evaluate order content to avoid confusion.

+ Due to the nature of many products, the production order number needs to correspond to the batch number. Therefore, manual editing by staff is required.

-Sales & Discounts:

+ It takes 2-3 days to create a business performance report.

+ Mistakes or omissions in discounts for customers due to the discount program being applied manually by deducting directly from the price, causing difficulties for the department receiving the results (accounting, finance).

-Warehouse & Transportation:

+ Combine 2 forms of transportation: outside vehicles & factory vehicles. When transporting, vehicles must be combined, transporting multiple orders with independent delivery notes makes it difficult to control, easy to check mistakes, and miss orders delivered to customers.

-Manufacture:

+ For many types of products, the production order number must correspond to the batch number.

+ Not being able to grasp actual information about raw materials makes it difficult to create accurate production orders according to orders placed during the day.

+ Prioritize the production of chemical jars according to the inventory of raw materials in the warehouse (due to limited batch numbers).

+ Difficulty in managing defective products: manual rotation as materials or semi-finished products for other orders.

-Data & Reports:

+ Using independent software, collecting data separately in production, warehouse, finance, accounting stages makes data fragmented and difficult to check. Reconciling inventory results between accountants and warehouse keepers can take up to 1 month.

+ Synthesizing data from many different Excel tables to create reports makes the report data unreliable due to independent processing and manual transmission via hard copy.

+ It took up to 3 months to compile financial data from subsidiaries and publish consolidated financial statements for the group. The data was not transparent, lacking a basis for leadership decision making.

RESULTS AFTER APPLYING 1C:ERP SOLUTION:

Sell:

- Sales department enters and manages orders before accounting department, minimizing errors.

- Business performance data is updated transparently in real time, leaders can access it at any time. Customer care efficiency is improved. Internal sales and purchases within the group are updated accurately and promptly.

- Labor productivity increases thanks to the application of technology.

CRM & Marketing:

- Discounts are applied completely automatically (with Fujiton). Quote faster and more accurately, increase acceptance and customer retention.

Integrated Digital Office solution (1C:Document Management)::

- Approve purchase orders and internal purchasing plans. Based on inventory quantities and standards to purchase the correct and sufficient raw materials; especially for goods with limited shelf life such as chemicals. Improve inventory efficiency and reduce costs.

- Support automation of initiation and running of complex approval processes.

- In-depth document security with detailed authorization system for each document.

- Rebuild all ISO processes, promptly respond to new technological changes. At the same time, the application of the process in practice is improved, also optimizing the resources of the enterprise.

Automated production:

- Dynamic BOM formula: Supports calculating material requirements for products with different sizes and characteristics, according to different orders based on standard BOM.

- Each production order clearly states the tank and production machine; the form can be printed according to the correct machine.

- Control, optimize capacity and working schedule of machinery system.

- Production plans are supported to be automatically set up and optimized thanks to all data such as material status, orders, debts, etc. that have been stored and seamlessly integrated in the software. From there, Tonmat processes orders faster and more accurately.

- Optimize resources and automate maintenance plans for machinery and tools, helping the production process run continuously with minimal downtime.

Warehouse:

- The warehouse keeper can find the origin of materials (imported from which date, who/which department imported, import purpose), helping the warehouse keeper check accurately, without delay when loading data.

- Check the number of orders that need to be processed directly on the machine, with original information from the sender.

- Synchronize information between all warehouse branches to easily check when internal transfers or inventory checks are needed (production batch, series, production date).

- When transferring, the system reports the quantity of goods exported, automatically linking Greenmat with the branch.

- Data is synchronized from the purchasing department, minimizing the step of finding raw material data that needs to be exported on the software.

Technology & Security:

- 1C Vietnam has cooperated with TONMAT Group to stably handle more than 350 operations.

- Nearly 1,300 information fields for administrators to proactively assign permissions (by business, department, section, document), increase security level and meet detailed needs of the business. Can assign permissions to personnel to print forms. User experience is simplified.

- New Master Data system for managing item parameters is built.

- Data is processed entirely on 1C:ERP with high accuracy and transparency.

- The report is presented in detail, supporting the Board of Directors to make the right decisions for market expansion/new product development.
